How GPT ChatManager accesses, uses, stores, and protects conversation-list metadata when you use the Chrome extension.

1. About GPT ChatManager

GPT ChatManager is a Chrome extension for managing your ChatGPT conversation history. It offers metadata synchronization, local search and filtering, CSV exports, JSON backup and import, and user-initiated archive, unarchive, and delete operations.

GPT ChatManager is an independent project by Holhaug Labs UnLtd. It is not affiliated with, sponsored by, or endorsed by OpenAI.

2. Information processed

To perform its functions, the extension may access or store:

Conversation identifiers, titles, creation and update times, archive status, and related list metadata.
Local preferences, synchronization state, checkpoints, and operation history.
Information needed to complete an explicitly requested action in your signed-in ChatGPT session.

Conversation titles can contain personal or sensitive information entered by users. The extension's CSV and JSON conversation-list exports do not include full conversation-message bodies.

3. Local storage and purpose

GPT ChatManager keeps its conversation index, settings, checkpoints, and Activity history in Chrome extension local storage on your device. This allows the dashboard to display, search, filter, and manage your locally cached conversation list and resume interrupted synchronization.

The extension is not designed to upload your locally cached conversation index to a Holhaug Labs server, and it does not include developer-operated analytics or advertising tracking.

4. Communication with ChatGPT

When you use synchronization or account-management features, the extension communicates with chatgpt.com using your existing signed-in browser session. It may access a session-provided authentication token in the ChatGPT page context to authorize requests to ChatGPT. That token is used for the request and is not intentionally saved in the extension's conversation index.

Synchronization reads available conversation-list metadata. Archive, unarchive, and permanent delete actions change the account only when you explicitly request and confirm them. Your use of ChatGPT remains subject to OpenAI's own terms and privacy practices.

Important: A JSON backup may contain historical or deleted conversation entries. Importing a backup does not restore conversations or verify that they still exist on ChatGPT. A completed synchronization does not guarantee comprehensive account-wide coverage.

5. Exports, imports, and sharing

CSV exports and JSON backups are saved through Chrome's download functionality to your device at your request. JSON imports are read from files you choose and used to update the local conversation index. The extension does not automatically send these files to Holhaug Labs or unrelated third parties.

Once you export a file, you are responsible for protecting it and for any later transfer, cloud backup, or sharing outside the extension.

6. Retention, controls, and deletion

Local data generally remains in your Chrome extension storage until you clear it, remove the extension and its associated data, or Chrome/browser policies remove it. The extension provides a Clear local cache operation to remove its cached conversation data and saved synchronization state.

Clearing local cache does not delete conversations from your ChatGPT account. An explicitly confirmed Delete action is separate and permanently deletes the selected conversation through ChatGPT. Exported files remain on your device until you delete them yourself.

7. Security and data use

The extension uses Chrome's extension permissions and restricts its website access to ChatGPT. It uses data to provide its disclosed conversation-management functions, not for personalized advertising, sale of data, credit decisions, or unrelated profiling.

Users should protect their Chrome profile, device, and exported backup files. No software can guarantee absolute security.

8. Changes to this policy

This policy may be updated when GPT ChatManager's features or data practices change. Updates will be posted at this URL with an updated effective date.
